It's tempting to think WiFi hardware is a solved problem - buy enough access points, plug them in, done. In a large or oddly-shaped venue, that assumption is exactly what causes dead zones, dropped connections and a stage full of angry sponsors mid-demo. The brand on the box matters far less than how the network is actually designed for the room.

Coverage isn't the goal - capacity is

A single access point can technically "cover" a large hall in terms of signal reaching every corner. The problem is capacity, not coverage: WiFi is a shared medium, and every device on an access point competes for the same airtime. Pack 300 phones onto one AP built for 50 concurrent users and you get a technically "connected" but practically unusable network - slow, dropped packets, and constant reconnection attempts.

Rule of thumb: plan for roughly one enterprise-grade access point per 60-80 densely packed attendees in a single space, rather than relying on a handful of powerful APs to blanket the whole venue.

Antenna pattern matters more than most people realize

Access points aren't one-size-fits-all even within the same product line. The antenna pattern - how the signal is shaped and directed - needs to match the space:

A venue with a mix of open floor, seating rows and a stage often needs a mix of all three - deployed AP by AP based on the room's actual shape, not a single blanket setting across the board.

On-site controllers beat cloud-only management

Many consumer and even some business-grade WiFi systems rely on a cloud controller to manage access points - which means if internet to the venue has any hiccup, so does your ability to manage or troubleshoot the network, right when you need it most. A hardware controller located on site keeps the network's management plane independent of any external connection, so a local team can diagnose and fix issues without waiting on a cloud service.

Materials and structure affect signal more than distance

Signal strength calculations that only account for distance from the AP miss half the picture. Materials common in event venues - metal trusses, glass partitions, concrete pillars, even dense drapery - absorb or reflect WiFi signal in ways that vary significantly by material. A site survey that accounts for the venue's actual construction, not just its floor plan dimensions, catches these issues before the event rather than during it.

Plan around the crowd, not the empty room

A venue walkthrough during setup, when it's empty, gives a misleadingly clean signal reading. Human bodies absorb WiFi signal - a packed room of attendees measurably degrades coverage compared to an empty one. Experienced network planners account for this by testing and designing with expected crowd density in mind, not just the physical space.

Multi-day and seasonal events need a different plan

A single-day launch and a multi-day festival or exhibition put very different demands on access point hardware. Outdoor and seasonal events add heat, dust and sometimes monsoon-season moisture into the equation - access points and enclosures rated for outdoor deployment matter here, not just count and placement. For multi-day events, plan for a mid-event health check on hardware and cabling rather than assuming a setup that worked on day one will hold for day four without anyone looking at it.

What to ask your WiFi provider

  1. How many access points are planned for my specific room layout and expected attendee density?
  2. Is the antenna pattern for each AP matched to its position in the room, or is it a standard blanket deployment?
  3. Is the network managed by an on-site controller, or dependent on cloud connectivity?
  4. Was the plan based on a site survey of this specific venue, or a generic estimate?

Good WiFi at a large event is invisible - nobody notices it working. That invisibility is the result of access point placement decided room by room, not a spec sheet.
