A venue's "internet" and a leased line built for your event are two very different things. Understanding that difference - and what goes into standing up a temporary line - is the difference between a smooth show day and a frantic call to IT mid-keynote.

What a temporary leased line actually is

A leased line is a dedicated, point-to-point internet connection reserved exclusively for your event - unlike a shared broadband or venue WiFi connection, which splits bandwidth across every user on it, including tenants you've never met. For events, this is typically delivered via fibre where available, or a wireless (RF) link where fibre can't be run in time, terminating on site with bandwidth ranging from tens of Mbps to multiple Gbps depending on need.

Dedicated vs. shared, in practice: a shared connection might advertise "500 Mbps available" but if three other events or tenants are pulling from the same pool, your actual throughput during peak hours could be a fraction of that. A dedicated 1:1 line delivers exactly what it's provisioned for, every time.

Lead time is the most underestimated factor

Provisioning a temporary line - especially fibre, or a line requiring a new physical connection to a venue - is not an overnight process. Realistic lead times depend on the venue and connection type:

Booking bandwidth as an afterthought - once the venue, stage and catering are locked in - is the single biggest reason events end up with an unreliable connection. Loop in your connectivity provider as early as the venue contract, not two weeks before the event.

How much bandwidth do you actually need?

This depends heavily on what the event is doing with its connection, not just headcount. A trade show with heavy WiFi usage across thousands of attendees, a corporate launch live-streaming globally, and a multi-day motorsport event syncing timing data all have very different profiles. As a general guide:

Redundancy: what happens if the line drops?

Even dedicated lines can fail - a dug-up cable, an ISP outage, adverse weather on a wireless link. For any event where connectivity failure isn't an option, ask about:

  1. A second, independent ISP feeding the same site as backup
  2. Automatic failover hardware that switches lines without manual intervention
  3. An on-site technical contact for the duration of the event, not just a phone number

For most conferences and launches, a single well-provisioned dedicated line with an on-site engineer is sufficient. For large-scale, multi-day or broadcast events, dual-ISP redundancy is worth the extra cost.

Negotiating with hotels and convention centres

Large venues in India often present their in-house internet package as the only option, bundled into the booking with limited room to negotiate. In practice, most venues will allow an external connectivity provider to bring in a dedicated line, provided access, cabling routes and installation timing are agreed in advance - it's rarely a hard "no," just a conversation that needs to happen early rather than being raised after signing. Ask specifically whether the venue permits third-party fibre or wireless links, and get that permission in writing alongside the booking confirmation.
